The Task That's Quietly Draining Your Time

Invoice chasing. Every business does it. Most businesses hate it.

You send an invoice, the due date passes, and suddenly you're drafting awkward reminder emails, checking spreadsheets, and wondering whether to call or wait another few days. It's uncomfortable, inconsistent, and takes time you don't have.

The good news: this is one of the easiest processes in your business to automate — and you can have it running by Friday.

What the Automated System Actually Does

Here's the basic flow we'd build for a client:

When an invoice becomes overdue in your accounting software (Xero, QuickBooks, FreeAgent — all work), a trigger fires automatically. That trigger kicks off a sequence of timed, personalised emails sent directly from your email address.

Day one overdue: a polite nudge. Day five: a firmer reminder with the invoice attached. Day ten: a short, direct message flagging the account. If payment is received at any point, the sequence stops immediately. No more chasing someone who already paid.

The whole thing runs without you touching it.

The Tools You'll Need

You don't need anything exotic. The most straightforward setup uses:

Your accounting software — Xero or QuickBooks both have Zapier integrations that can detect overdue invoices in real time.

Zapier or Make — the automation platform that connects your tools and runs the logic. Both have free tiers that cover basic setups.

Gmail or Outlook — your emails come from your actual account, so they look personal, not automated.

That's it. Three tools, most of which you probably already use.

How to Build It (Step by Step)

Start in Zapier. Create a new Zap and set the trigger to "Invoice becomes overdue" in Xero or QuickBooks. Test the trigger with a real overdue invoice to confirm it's pulling through the right data — client name, amount, due date, invoice number.

Next, add a Gmail or Outlook action. Write your first reminder email using dynamic fields so it pulls in the client's name and invoice details automatically. Keep it short and human — two or three sentences is plenty.

Then add a delay step. Set it to five days. After the delay, add a second email action with a slightly firmer message. Repeat for your third touchpoint at day ten.

Finally, add a filter at the start of each step that checks whether the invoice is still unpaid before sending. Zapier can check this by looping back to your accounting software. If it's been paid, the Zap stops. If not, it continues.

The whole build takes two to three hours the first time. Once it's live, it runs indefinitely.

What You'll Actually Save

For a business sending ten to twenty invoices a month, manual chasing typically takes three to five hours. That's time spent on a task with zero strategic value — time that could go towards sales, delivery, or simply finishing on time.
